Privacy Policy

1. Who we are

VENQ PRO LLC, a New Jersey company, provides VenQ's event-planning website and mobile apps. This policy explains how we handle information when you visit our site, create an account, plan events, collaborate, or contact us. Our address is 1001 NJ-70, Suite 1311, Toms River, NJ 08755, United States. For privacy questions or requests, email contact@venqpro.com.

2. Information we collect

  • Accounts: name, email, phone number, organization, role, sign-up answers, preferences, and any profile photo or WhatsApp number you provide. Our Devise-based account system stores a password hash rather than your plain-text password, along with verification and account-security records. If you choose Google sign-in, we receive your Google account identifier, email, and profile information.
  • Event and workspace content: event dates and locations, guest lists, contacts and their details, venue and vendor information, bookings, timelines, floor-plan designs, comments, messages, and collaboration activity. We also store files you submit, such as blueprints, floor plans, photos, documents, and feedback screenshots. Uploaded files may contain personal information and file metadata.
  • Inquiries and support: contact details, company information, messages, product feedback, and venue-partner submissions, including uploaded floor plans.
  • Billing: subscription and customer identifiers, plan, payment status, and related billing records. Stripe collects payment details through its hosted checkout and billing portal; VenQ does not store full payment-card numbers.
  • Usage and security: IP addresses, browser/device information, session activity, security audit events, request/error logs, and AI usage records such as model, token counts, and cost. We store Que conversations and messages to provide conversation history and operate the assistant.

Organizations and collaborators may supply information about other people. Only upload information you are authorized to share. If your information was supplied by an organization using VenQ, you may also contact that organization about its handling of your data.

3. How we use information

We use information to create and secure accounts, provide event and floor-plan tools, store uploads, enable sharing and collaboration, process subscriptions, send service communications, respond to inquiries, provide requested AI features, troubleshoot and improve the service, prevent abuse, and meet legal obligations. Where applicable law requires a legal basis, these activities rely on performing our agreement with you, legitimate interests in operating and protecting the service, legal obligations, or consent for optional integrations and permissions.

4. Service providers and optional integrations

We use providers to process information needed to deliver the service. Which providers receive data depends on the features you use and the integrations enabled:

  • Hosting and storage: hosting infrastructure such as Heroku processes application data; PostgreSQL stores account and workspace records, and Amazon Web Services S3 stores uploaded files in production. Background jobs and transient state may also use database and Redis storage.
  • Stripe: subscription billing and payments, including customer email, organization/billing identifiers, and payment information you provide to Stripe.
  • SendGrid (or the configured email provider): recipient addresses and email content for account verification, password resets, notifications, and other service emails.
  • Twilio: recipient phone/WhatsApp numbers and message content when SMS or WhatsApp notifications are enabled and sent.
  • Google: optional sign-in and Calendar integration. Connecting Calendar stores authorization tokens and sends event details to a VenQ calendar in your Google account. Disconnecting stops future synchronization but does not itself remove the calendar already created in Google. Contact imports may also use information you choose to import.
  • Sentry: error reporting and performance monitoring when configured. AI monitoring may include user and conversation identifiers, user/assistant message text, tool names, and usage metrics, not just anonymous error counts.

Information is also visible to organization members and collaborators according to their access. Anyone holding a shared or collaboration link may access the content and capabilities that link permits. Publicly published venue information is visible to others. We may disclose information when required by law, to protect rights and safety, or in connection with a business transfer subject to applicable protections.

5. Que and other AI features

Que uses Anthropic's Claude models. When you use AI features, prompts, conversation history, relevant workspace context and tool results, and selected attachments or images may be sent to Anthropic to generate answers or carry out requested planning actions. Blueprint analysis/cleaning may also send blueprint images to Anthropic. OpenAI processes text for embeddings used in AI search and retrieval. If enabled and used, fal.ai receives selected product images to generate 3D models.

We store AI messages and usage records, and configured Sentry monitoring may receive message text as described above. Do not submit secrets or unnecessary sensitive personal information to AI features. Provider processing and retention also depend on their applicable terms and our service configuration; this policy does not promise zero retention or that every provider excludes all data from model training. Review AI output before relying on it.

6. Cookies, local storage, and analytics

We use session and security cookies, optional remember-me cookies, and a temporary cookie to remember a selected subscription plan during sign-up. Browser storage also remembers interface preferences and local editing state. Blocking cookies or clearing storage may sign you out or affect these features.

The current app does not integrate advertising trackers or third-party marketing analytics such as Google Analytics. We do collect operational logs, security records, AI usage metrics, and configured Sentry diagnostics. External resources and optional embeds, such as fonts, maps, or tutorial videos, can receive your IP address and browser information when loaded and are subject to their providers' policies.

7. Mobile photos, camera, and files

Our mobile apps display the VenQ service. You can choose files or photos for supported upload features. We receive the files you submit, not your entire photo library. The apps may ask for camera or photo access only when you choose to take or pick a photo for an upload, and never collect photos in the background. You control what you select and can manage permissions in your device settings. Uploaded files are stored and processed as described above.

8. Retention and deletion

We retain account and workspace information while needed to provide the service and for legitimate operational, security, accounting, and legal purposes. Canceling a subscription does not automatically erase events or floor plans. Some delete actions deactivate or soft-delete records rather than immediately removing them from storage; final purging is handled separately. Organization deletion has a cooling-off period. Backups, audit/security records, billing records, and data needed for legal obligations or disputes may be retained longer. Retention varies by record and purpose; we do not promise immediate erasure or a single fixed deletion deadline.

To request deletion of your account and associated personal data, email contact@venqpro.com from your account email with the subject “Account deletion.” You can make this request without signing in or reinstalling the app. We may verify your identity and clarify the scope of your request. Eligible signed-in users can also request account deletion or a data export in Settings → Data & privacy; organization admins can schedule organization deletion there. A sole admin may need to transfer administration or request organization deletion. Deactivation does not necessarily delete organization-owned content or copies already shared with others.

9. Your choices, rights, and security

You can update profile information, manage notification preferences, revoke share links, and disconnect optional integrations. Depending on your location, you may have rights to access, correct, export, delete, restrict, or object to processing of your information, withdraw consent, or complain to a privacy regulator. Send requests to contact@venqpro.com. We will respond as required by applicable law, subject to identity verification and lawful exceptions.

We use safeguards such as HTTPS, access controls, and account-security measures, but no system is completely secure. Our providers may process data in the United States or other countries whose privacy laws differ from yours. Where legally required, appropriate safeguards apply to international transfers.

10. Children's privacy and policy changes

VenQ accounts are intended for adults, not children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided us personal information, contact us so we can investigate and address it. Event organizers are responsible for having appropriate permission for information they upload about guests, including minors.

We may update this policy as the service changes. We will post the revised policy and last-updated date here and provide additional notice when required by law. See also our Terms of Service.
